Terms of reference – Village Centre Committee
Purpose of the Committee
- To be responsible for the overall management and maintenance of the Village Centre in accordance with Farnsfield Parish Council’s Standing Orders.
Specific areas of responsibility
- To ensure that an adequate maintenance programme is in place to ensure that the Village Centre is in a sound and usable condition and able to conform to all current legislative requirements.
- To present a financial schedule to the Finance and General Purposes Committee by September each year in order that the costs be included in the annual precept.
- To be responsible for monitoring the overall condition of the village hall, and consider risks to users and the public making appropriate recommendations for the repair or upgrading of the building and equipment to the Finance and General Purposes Committee. See also risk analysis
- To consider unexpected repair alteration work to the premises and refer to the Finance and General Purposes Committee if non budgeted expenditure is anticipated
- To monitor and act on the progress of repairs and alterations, particularly with regard to public safety, and ensure the council’s requirements are met. See also Risk Analysis
- To note any complaints or comments from the general public and make recommendations, when appropriate to, the Council
- To establish and update a specification of the requirements for cleaning and routine maintenance the hall and equipment
- To ensure that the council’s cleaning and routine maintenance requirements are being completed as specified
- To make recommendations to the Finance and General Purposes Committee on expenditure for maintenance and staff and equipment
- To ensure that the premises have the appropriate licences in place to comply with current legislation
- To ensure that the requisite premises checks have been undertaken in relation to electricity supply, electrical equipment, fire prevention and food hygiene matters
- To ensure that the premises have adequate security at all times
