MINUTES OF LAST MEETNG & MATTERS ARISING
Dexter praised everyone on a wonderful day on Saturday, a lot of new faces, plant sales went really well.
Minutes of last meeting read as correct.
Dexter asked which members have an email address to send minutes to from here on. These will be sent electronically for convenience. Paper form for those who have no email facilities.
FUTURE MEETINGS
Meetings to be held every 2 weeks with jobs assigned to members.
CARNIVAL
7 bands booked & confirmed. Coventry band has also contacted us – far too much money for us. Dexter confirmed those already booked and showed information regarding these. Four new bands in the parade this year.
Bar is booked.
24th May is when all money is due for Carnival. Stall bookings still coming in. Carnival insurance due just before the event.
TASKS
Crowns/sashes – Sharon outlined what we already have. We don’t have enough of one colour for all. Agreed to buy some new material and ask Nina to make. Sharon to take charge, making sure queen and attendants hand in their items in good condition. 18 needed altogether. Sharon to source printing company for sashes. Crowns – Dexter showed everyone pictures of ones he had sourced on the internet. Display cabinet will be going in the Community Centre to display all the trophies.
Agreed to go ahead and order 1 crown and 4 tiara’s
Flowers – Fiona – Kathryn to confirm and ask what she needs us to get. Agreed to use button holes from last year. Kathryn to organise.
Dresses – Diane is making these.
Cushions – Nina to be asked if she can provide assistance with these.
Transport for queen’s and attendants – Open top single decker bus - ?Burton’s transport of Alfreton – Paul to source quotes.
Trophies – Sharon to try and collect all these in. Sally Grey – £200 received for this. Hopefully more sponsors will be coming in. Need to replace damaged trophies. Rather than upgrade the trophies Sharon suggested having a plaque with name to be added on each time. Paul suggested a ‘Hall of Fame’ in the Community Centre with all the queen and attendant’s details on. Display history of past queen and attendants.
Agreed to contact Dennis Skinner re: sponsor for trophy, Genesis Centre, P&G Mortgages, Middlebrook Transport, Woodend.
Raffle – Kathryn read out list of tickets given out.
Tombola – Lisa to collect prizes. Angela & Matthew to do tickets.
Members available on the day – Confirmed.
Refreshments – Agreed to do sandwiches, tea and coffee. Paul suggested asking Lynn to do these because of time factor.
Meeting next week – to demonstrate to DCC that we have all this in place. Paul will help with this. Dexter to deliver a presentation.
Paul to source fridge for sandwiches which Lynn will be happy to provide.
Floats – Lynn to organise.
Field plan – Paul & Kath to organise.
Retiring queens – need to get them in the parade this year.
Floats – Transport confirmed. Desperately need lorries.
Rickshaws – we need to utilize these.
STREET COLLECTION
Caravan – stripping on Saturday, 10th May at 2.30pm.
Street collection – Saturday, 7th June at 12.00
AOB
St John First Aid – 195.58 – cost for this year for adequate cover.
Junction Arts – letter received from complaint.
Security – Dexter to look into.
Grant application – returned but additions needed, this will be sorted as soon as possible for return of post.
New logo – Dexter showed everyone an idea.
Costumes – Members to think about ideas – bright and jazzy, practical, easy to wear.
Workshops – Looking at providing these to build and construct floats which can be kept for years to come. This all depends on the Lottery grant.
Judges – Need to be organised as soon as possible. Lisa suggested asking representatives from the nursing him at Blackwell to judge whilst at Blackwell. Also ask people who have donated trophies to present. Members to think of ideas for next meeting.
Advertising – banners discussed.
Brass plaques – agreed to do again this year.
Judging – Agreed this should all be done at Blackwell. Rosettes will be given to float winners at Blackwell and judge fancy dress will also be judged at Blackwell but announced on the field.
Tug – O –War - need to decide for next meeting if this is still feasible.
Budget – Dexter to provide a budget break down for next meeting.
