Held On Wednesdday 16th July 2008

MINUTES OF LAST MEETING
Read as correct.
SURVEY
Positive feedback received – need to assess this year – taking good and bad forward to next year.
Negative points – better advertisement for stalls to carry forward to all events, arena attractions. More dedicated helpers on stalls during parade.
In summary – the carnival went very well, helpers fantastic, constructive critism which will be taken on board.
Stall
Position’s need to be made clear. Stalls must stick to allocated space and position. Signs to be made for all stall holders
PA
system poor – on stage a problem. ? need to reduce to one arena to help with this.
Judging
Needs to be revised, and kept simple, Flowers to be sent to Blackwell care home with a card of thanks.
Floats
Prize money for floats agreed and cheques to be distributed accordingly.
Attractions
Involving children is most successful. Agreed that activities involving children are the most supported. Need to work with schools over the coming months.
Alcohol
Following discussions with the licensee this year major concerns have been raised regarding the amount of drink being brought onto the field by under aged drinkers.
Dexter to speak to the police and also we need to look at how we can stop this for 2009 as this may put the future of the carnival in jeopardy
Alternative bar provisions have been suggested.
Support
Fantastic this year - thanks to all who helped
Allocating tasks
Need to assign duties to team members and ensure these are done within a timescale.
DVD
Proportion of which will go to Angela’s fund + collection at light of life service – need to let hospice know in advance.
Photographs
Hopefully display will be ready for the celebration event
Refreshments
Need to assess this for next year.
General morale was discussed.
Members had raised concerns regarding negative feedback and how it was affecting the team moral, all agreed that it was the minority who are out to spoil the events and it was resolved that should anyone hear any negative comments to turn these into a positive.
Show ground and car parking was discussed.
Alternative location was discussed for the event this would be looked at later this year

Celebration Evening
Saturday 26th July – Party Nite – Bunting to be put up Saturday morning.
Food list will be allocated. Invites discussed. Disco – Kathryn to sort.
Finances
Sorted with Lynn. Carnival had cost around 7k.
Grants for future
Discussed & suggestions made for the future.
Youth Group
Need ideas and support. The kids are our future!
Photocopier
Dexter and Chris to arrange date and time for collection
Date of next meeting – Wednesday 30th July.
This will be the last meeting before the AGM on the 4th September
