MINUTES OF MEETING
HELD ON
WEDNESDAY 30TH APRIL 2008

MINUTES OF LAST MEETING & MATTERS ARISING

Paul has sourced 2 rickshaws for hire – need 2 strong men to cycle these. Could leave these at Newton ready to join the parade, to save combating the hill. 

Members to ask around for willing volunteers

Sponsor money for Hike & Bike – still some to come in. 
Need to draw a closure to this, if any one has sponsor money please let Lynn have this as soon as possible 

PLANT FAYRE

Members available confirmed.  9 stalls booked up to yet. 
Floats - sorted

Plants – Daffodils available in abundance.  Will sell these at £1.00 on Saturday.  Wholesalers visited at the weekend – excellent offer, to collect Friday – transport arranged.  £250.00 worth of plants + sale and return items.
Lisa, Paul & Dexter to take cars to collect. 5.45pm
 
To contact local authorities re: displays in towns, etc.

Members to meet at 8.30am – plants will be already at the centre. 

Paul to download some garden music.

Sharon is collecting all the food on Friday

Nina & Tony Mumford have kindly donated a large amount of goods for the tombola – thanks to be sent

Last minute flyers given out to members, for last bit of advertisement

CARNIVAL UPDATE

Parade – 7 bands have now been booked and confirmed

Need to get people interested in entering floats, Lisa to draw up letter and posters

cars for Queens have now been confirmed, also vintage car, lorry for retiring queens.

Members to ask around for help with lorries and drivers. Kathryn to talk to Dave Smith 

All entertainment is booked

Stall booking coming in each week, ad to be placed in the ADMAG

Meeting with the Events team at DCC 15th May 4pm if any one wants to attend give Dexter a shout

As we are now only 12 weeks away, we will be having meetings every 2 weeks, next meeting is on the 14th May

Funding update

As discussed in previous meeting, we had submitted a grant application to Awards For All to do float and street decorations. They received the application on the 11th April 2008. To date we have not had a reply

If this fails we will look at other possibilities, update at the next meeting.

Dexter handed round the updated version that Stu had done, He is prepared to totally revamp the site for £200.00
 
Members Stressed that this is needed urgently and agreed to proceed with this project and asked if it could be done by the 14th May.

Paul agreed to be the main link with supplying information to Stu and obtaining information from our partners.

Members

Dexter asked if we all could continue to promote the carnival in a positive way and if possible encourage new people to join us.

He also said that people were not expected to attend all meeting but to be there when we needed help

Light Of Life

We have still not got the star back out to people, members were asked for their opinion on what to do. It was agreed to continue with the brass plaques. This is now a priority as we seem to getting ourselves a bad name

Members were asked to explain people making enquiries, to give us a couple more weeks, and that will be putting procedures in place to ensure that this year they are returned within 2 weeks of the tree being taken down

All members who are being tasked are asked to give a written update to lisa Prior to the meeting, if possible via Email
